Before you can build knowledge bases or deploy AI agents, you need a Beenos Solutions account and at least one workspace. This guide walks you through creating your account, verifying your identity, configuring your workspace, and inviting collaborators — so your team can hit the ground running together.

Create Your Account and Workspace

Sign Up at app.beenossolutions.com

Navigate to app.beenossolutions.com and click Sign Up in the top-right corner.You have three options for creating an account:
  • Email and password — enter your work email address and choose a strong password.
  • Continue with Google — authenticate using your Google account in one click.
  • Continue with GitHub — authenticate using your GitHub account.
After submitting your details, Beenos Solutions sends a verification email to the address you provided.

Verify Your Email

Open the verification email from Beenos Solutions and click the Confirm Email button. This link is valid for 24 hours.
If the email doesn’t arrive within a few minutes, check your spam or junk folder. You can also request a new verification email from the login screen by clicking Resend verification email.
Once your email is confirmed, you’ll be redirected back to the app and prompted to set up your first workspace.

Create or Join a Workspace

A workspace is your team’s shared environment inside Beenos Solutions. It contains all of your knowledge bases, AI agents, usage history, and billing settings. Every piece of content you ingest and every agent you deploy belongs to a workspace.You’ll be presented with two choices:
  • Create a new workspace — enter a workspace name and click Create. Choose a name that clearly identifies the project or organisation, such as Acme Corp or Product Support Team.
  • Join an existing workspace — if a colleague has already set one up and sent you an invitation, click Accept Invite in the invitation email instead of creating a new workspace.
You can belong to multiple workspaces with the same account. Switch between them at any time using the workspace selector in the top-left corner of the dashboard.

Configure Basic Workspace Settings

After creating your workspace, take a moment to configure the essentials.
  1. Go to Settings → General in the left sidebar.
  2. Update the Workspace Name if needed — this name appears in shared agent links and email notifications.
  3. Set your Timezone so that usage reports, scheduled refreshes, and audit logs display times correctly for your team.
  4. Upload a Workspace Logo (optional) — it appears in the hosted chat interface shown to your end users.
  5. Click Save Changes.

Invite Team Members

Beenos Solutions uses a role-based access model. You can invite colleagues to your workspace and assign each one a role that controls what they can see and do.

Open the Members Settings Page

Go to Settings → Members in the left sidebar and click Invite Member.

Enter the Invitee's Email and Choose a Role

Type the invitee’s email address and select a role from the dropdown:Click Send Invite. The invitee receives an email with a link to join the workspace. The link is valid for 7 days.

Manage Existing Members

To change a member’s role or remove them from the workspace, return to Settings → Members, find the member in the list, and use the menu next to their name.
Workspace naming tip: Use a consistent naming convention if you manage multiple workspaces — for example, [Company] - [Project] or [Team] - [Environment] (e.g., Acme - Customer Support or Engineering - Staging). This makes it easy to identify the right workspace at a glance, especially when switching between accounts.

Secure Your Account

Keeping your account secure protects your content, your agents, and your users. Follow these recommendations after setting up your account. Set a strong password If you registered with email and password, use a password that is at least 12 characters long and combines uppercase letters, lowercase letters, numbers, and symbols. Avoid reusing passwords from other services. Enable two-factor authentication (2FA) Beenos Solutions supports authenticator-app-based 2FA (such as Google Authenticator or Authy). To enable it:
  1. Go to Settings → Security in your account profile.
  2. Click Enable Two-Factor Authentication.
  3. Scan the QR code with your authenticator app and enter the six-digit code to confirm.
  4. Save your backup codes in a secure location — you’ll need them if you lose access to your authenticator app.
If you lose both your authenticator device and your backup codes, account recovery will require manual verification by the Beenos Solutions support team. Store your backup codes somewhere safe — a password manager is a good option.
Review active sessions Under Settings → Security, you can see all active login sessions for your account. If you spot any you don’t recognise, click Revoke to log that session out immediately.
